EQ Saddle Science Inventory and Office Administrator

Woman-owned small business EQ Saddle Science has an immediate opening for a 25-35 hour/week Office and Inventory Administrator. This is a rare opportunity to join a team dedicated to horse and rider comfort!  

In this role, you will provide a good deal of the structure that keeps the office running, with responsibility for key day-to-day and strategic functions. You will also have the opportunity to help our sales team provide a top notch customer experience by engaging in email conversations with customers about products and invoices. This job combines office administration and payment processing with purchasing and inventory management. Because we are a very small team, your duties will be varied, and all of your skills will be used. This is a mid-level (not entry level) position.

Responsibilities include:

  • Evaluate and set reorder levels, then order inventory so that key items are always in stock

  • Receive incoming shipments in the system and ensure that vendor invoices are accurate

  • Create tasks for team members related to processing backorders, custom orders, and other inventory/sales situations

  • Enter bills for products and services on a timely basis

  • Maintain vendor relationships and assist in bringing on new trade vendors

  • Oversee inventories and make adjustments after physical counts

  • Process web store orders and all incoming payments

  • Accounts Receivable and payment plan administration

  • Maintain or update contracts and agreements with fitters, reps, and ambassadors and independent contractors

  • Oversee IC relationships with IT and accounting professionals

  • Create and send monthly reports as needed

  • Ensure annual registrations are updated or renewed

  • Work directly with customers on custom orders, e.g. for special saddle pads

  • Prepare monthly metrics reports on inventory, A/R, and quality

  • Other tasks and projects, as-needed.

Skills and experience:

  • Strong written and verbal communication skills 

  • Excellent interpersonal and organizational skills

  • Attention to detail; ability to catch most of your own mistakes

  • Ability to comfortably work in a fast paced office environment

  • Strong back office and computer skills, including fast/accurate keyboard skills

  • Familiarity with Google Suite, with aptitude to learn new software and systems

  • Experience with accounting and/or database software

  • Must be a team player & self-starter, able to work independently and complete work timely and accurately.

Start Date: ASAP

Hours: This position is approximately 25-35 hrs/week of flex time, with a need for coverage all or most weekdays from 11 AM to 3 PM Pacific Time. Remote candidates in California and New York are welcome to apply.

Renumeration: Hourly rate, commensurate with experience
